ACADEMIC ACHIEVEMENT HUB ADMINISTRATIVE ASSISTANT

Salary Range:  $24.68 – $26.39/hour

 

 

 

The Teaching + Learning Commons (the Commons) is the campus-wide innovative infrastructure for comprehensive faculty and student support. It is the executive branch of the Executive Vice Chancellor for advancing teaching excellence and student success.

 

The mission of the Commons is to advance student success through teaching excellence and comprehensive academic student support; be an incubator for student academic success innovations; increase access to education on campus and beyond: and, actively promote equity and inclusion within the organization and through its programs and services. Through six unique but integrated hubs, the Commons’ work encompasses four areas: instructor support to enhance their teaching (inside and outside the classroom, in traditional as well as in digital teaching and learning settings); support undergraduate and graduate students to advance their success at UC San Diego and beyond; support graduate students to develop their professional development as instructors; and actively promote equity and inclusion within its organization and through its programs and services.

 

The Academic Achievement Hub provides programming that serves as interactive, academic spaces designed to reinforce and extend student learning in physical and/or virtual environments. These environments offer a wide variety of comprehensive support services and programs to enhance student academic success, retention, and completion rates.

 

This position is part of the Academic Achievement Hub (AAH) within the Teaching + Learning Commons (the Commons), which serves as the focal point for the University of California, San Diego’s centralized academic learning assistance and learning enrichment services for all enrolled students.

 

The AAH offers free tutoring, supplemental instruction, academic skill tutoring, workshops, and other academic support delivered through peer tutors and professional staff. Services are provided to UC San Diego students in both centralized and satellite locations. Reporting to the Director and/or Associate Director of the AAH, the Administrative Assistant provides administrative support for the AAH staff and students, including technology support for program platforms, customer service, monitoring budgets and business affairs, personnel matters, and interpreting policies and procedures.

 

The Administrative Assistant works under their own initiative and possesses a broad knowledge of all the functions and operations of the Commons.

 

•  Scheduled work shifts may fall outside of regular work hours and may include evenings and occasional weekends.

 

QUALIFICATIONS

•  Experience with accounts receivable and payable. Experience monitoring budgets. Ability to update program data on spreadsheets, maintain financial records, and produce a variety of reports related to AAH budgets, etc.

•  Demonstrated executive-level administrative skills to include planning, scheduling and organizing meetings and conferences, ordering office and program supplies and equipment and reception duties.

•  Experience analyzing data (e.g. financial, student information (but not limited to) queries and formatting spreadsheets and databases and produce for professional staff and respective units, as needed.

•  Demonstrated skill at organizing and prioritizing tasks with the ability to work under pressure to meet deadlines and adapt to changing priorities. Proven ability to multi-task in order to independently and effectively handle diverse responsibilities and problems simultaneously, often with shifting priorities.

•  Demonstrated ability to work independently, accurately with attention to detail, efficiently, maintain confidentiality, and function effectively under deadline pressures to fulfill assignments on schedule.

•  Working knowledge of computers and various software packages including word processing, spreadsheet, and presentation software and email and internet applications.

•  Excellent oral and written communication skills to communicate clearly and effectively to a diverse group of people in the academic and student affairs communities.

•  Excellent analytical skills. Proven ability to develop, analyze, and carry out program and project objectives and work with others in achieving unit/departmental goals.

•  Ability to plan and conduct administrative training sessions for new student employees.

•  A Bachelor degree with one to two years of progressively responsible administrative and/or financial and/or student services support experience in a professional or university environment; or an equivalent combination of relevant education and experience.

 

SPECIAL CONDITIONS

•  Job offer is contingent upon satisfactory clearance based on Background Check results.

•  Duties may require direct contact and/or supervision of children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.
